Furthermore, the way this website processes, stores and protects user data and information will also be detailed within this policy.

Users contacting swimrunner.com and/or its owners do so at their own discretion and provide any such personal details requested at their own risk. Your personal information is kept private and stored securely for a reasonable amount of time, as allowed by the General Data Protection Regulation 2018. Every effort has been made to ensure a safe and secure form to email submission process but we advise users using such form to email processes that they do so at their own risk. Swimrunner.com and its owners use any information submitted to provide you with further information about the products / services they offer or to assist you in answering any questions or queries you may have submitted. This may include using your details to subscribe you to any email newsletter programme the website operates but only if this was made clear to you and your express permission was granted when submitting any forms or where you have previously purchased from or enquired about purchasing from us a product or service that the email newsletter relates to. This is by no means an entire list of your user rights in regard to receiving email marketing material. Your details are not passed on to any third parties.

Email Newsletter
Swimrunner operates an email newsletter programme, used to inform subscribers about products and services supplied by us. Users can subscribe through an online automated process should they wish to do so but do so at their own discretion. Some subscriptions may be manually processed through prior written agreement with the user. Subscriptions are taken in compliance with UK Spam Laws detailed in the Privacy and Electronic Communications Regulations 2003. All personal details relating to subscriptions are held securely and in accordance with the General Data Protection Regulations 2018. No personal details are passed on to third parties nor shared with companies / people outside of the company that operates this website. Under the General Data Protection Regulation you may request a copy of personal information held about you by Outdoor Swimmer’s email newsletter programme. A small fee may be payable. If you would like a copy of the information held on you please write to the business address at the bottom of this policy or email info@outdoorswimmer.com with the subject heading DATA REQUEST. These requests are logged, and we will need identification to provide this data.

There is also the ability to update your details via a link in the footer of each sent email.

This website or its owners will never ask for personal or sensitive information through social media platforms and we encourage users wishing to discuss sensitive details to contact them through primary communication channels such as by telephone or email. Advertisers
We contact advertisers and potential advertisers with whom we think there is a legitimate interest of mutual benefit with the intention to establish a business relationship. After 10 emails without response we will stop trying to contact, if it is a personal email address.

Data is stored for as long as the contact is in a swimming related industry on our CRM system, which is GDPR compliant. It may be kept on the system for one year after last contact, or until the contact is no longer working within a swimming related industry. Data will also be removed on request.

We offer the opportunity for advertisers to opt into a regular email detailing offers, opportunities, and information about Swimrunner.

Direct Payments
Payment information is never taken by us or transferred to us either through our website or otherwise. Our employees and contractors never have access to it. At the point of payment, you are transferred to a secure page on the website of Paypal.

Personal information is taken to enable us to fulfil the purchase and kept for our records for the mandatory period of time for tax purposes.


Job Applications and Employment
If you send us information in connection with a job application, we may keep it for up to three years in case we decide to contact you at a later date.

If we employ you, we collect information about you and your work from time to time throughout the period of your employment. This information will be used only for purposes directly relevant to your employment. After your employment has ended, we will keep your file for six years before destroying or deleting it.

Editorial Contributions
If you send us information in connection with an article submission, we shall keep your details for our records for up to three years should we wish to contact you at a later date. If we use your submission and establish a working relationship with you these details will be kept for six years, or however long you are working within a related industry, whichever is longer.
